Certificate of Insurance Requirements

Parade entry insurance requirements require proof of liability coverage to protect against bodily injury and property damage. Requirements vary between commercial entities (often requiring commercial auto and commercial general liability) and individual participants (who may use personal, homeowners, or auto policies), with both usually naming the Western Welcome Week, Inc., (WWW) organizers as an “additional insured.” Certificates must include the the address for Western Welcome Week, Inc.: 5890 S. Bemis Street., Littleton, CO 80120, and policy effective date must be within one year prior to the parade date.

Insurance Requirements for Commercial Entries

  • Commercial General Liability (CGL): Usually a minimum of $1,000,000 per occurrence / $2,000,000 aggregate.
  • Commercial Auto Liability: Required if vehicles are used, with combined single limits of at least $1,000,000.
  • Additional Insured Status: Western Welcome Week, Inc. requires a certificate of additional insured naming Western Welcome Week, Inc.
  • Workers’ Compensation: Required for commercial entries with employees, according to statutory limits.
  • Hired and Non-Owned Auto: Mandatory for businesses using rented or personal vehicles for business purposes in the parade. If business or personal insurance is insufficient, organizers may require special event insurance, which covers commercial or non-profit organizations for liability risks. Insurance Requirements for Individual Entries

Individuals, non-profits, or small community groups coverage requirements.

  • Personal Auto Liability: If a vehicle is involved, proof of personal auto insurance is required, often with minimum liability limits of $100,000–$300,000. It is recommended to ensure that participating in a parade does not void coverage.
  • Homeowners Liability: Coverage for walking entries, marching groups, or participants with animals — $300,000+ limits.
  • Special Event Insurance: If personal insurance is insufficient, organizers may require special event insurance, which covers commercial or non-profit organizations for liability risks. Contact your insurance agent.

Insurance Requirements for Entries with Animals

  • Animals/Equine: Western Welcome Week, Inc. requires a certificate of additional insured naming Western Welcome Week, Inc. for all entries with animals that are loose in the parade, i.e. horses, goats, dogs, etc.

Safety Requirements

  • ITEMS SHALL NOT BE THROWN OR DISTRIBUTED FROM ANY PARADE ENTRY! 
    Western Welcome Week's insurance policy STRICTLY FORBIDS all parade participants from throwing, tossing, handing out, or distributing ANY items whatsoever from their parade entry. This includes approaching parade spectators to shake hands, chat, etc. This is a non-negotiable safety requirement. Entries not adhering to this rule could be pulled from the parade, regardless of where the entry is on the parade route, or how far the parade has progressed.  Entries that violate this rule will not be allowed to participate in future Western Welcome Week parades. We are expecting 20,000+ spectators, and want to ensure a safe parade for everyone.
  • No alcohol, drug, controlled substance, or tobacco use OR presence is allowed at any time. There shall be no consumption of alcohol or unlawful drugs, no smoking, and no vaping or use of similar devices on any vehicle or trailer. No person operating a vehicle, trailer or other motorized vehicle in the parade shall be under the influence of alcoholic beverages or unlawful drugs of any type.

  • Firearms and Pyrotechnics: No person shall discharge firearms, noise makers, fireworks, or similar items at any time during the parade.

  • Fire code mandates that all decorative materials used on parade entries must be non-combustible or flame retardant. All motorized vehicles and towing vehicles must care a portable fire extinguisher with a minimum rating of 2A:10B:C (often marketed as an "ABC" extinguisher).


Signed Waiver

Cindy — I thought Lautenbach’s statement was a little too broad, so I rewrote this section to reflect WWW’s process.

  • Western Welcome Week, Inc. requires a signed waiver or release of claims in addition to insurance proof. Western Welcome Week, Inc. requires the Parade Entry Coordinator to agree to and sign the Parade Terms and Conditions on the Parade Entry Application, in addition to providing the appropriate proof of insurance.

Parade Terms and Conditions

LIABILITY  [Lautenback’s] In consideration of the acceptance of the right to participate Western Welcome Week, Inc.’s Grand Parade (“Parade”), by execution of the entry form, I, my organization, and any related entrants, participants, members, or guests thereof (hereinafter collectively referred to as “Entrant”), hereby release and discharge the Western Welcome Week Inc., its officers, directors, employees, representatives and anyone else connected with the Parade from any and all known or unknown damages, injuries, losses, judgments and or claims from any cause whatsoever that may be suffered by and Entrant to his/her person or property. Further, each Entrant expressly agrees to indemnify and hold harmless Western Welcome Week, Inc., its directors, employees, representatives, and anyone else connected with the Parade, from any and all liability, including attorneys’ fees and costs, occasioned or resulting from the actions or conduct of the Entrant.

ACTS OF GOD AND GOVERNMENT  [Lautenback’s] Both Parade Entrants and Western Welcome Week, Inc. recognize that Acts of God (including weather and pandemics) and Acts of Third Parties (including the City of Littleton/Police and South Metro Fire Departments, State of Colorado, and U.S. Government, including but not limited to their security branches) are beyond the control these parties. To the extent that actions by third parties beyond the control these parties (including but not limited to Acts of God/weather and pandemics or Government or terrorist acts) preclude or limit the operation of the Parade, or its participants, neither party will hold the other responsible for said actions. Both parties agree to abide by the regulations and requirements of the City of Littleton and County of Arapahoe and the State of Colorado. If the Parade is cancelled due to an act of God/weather and pandemics or Third Parties that are beyond the control of the parties, Parade Entrants will be not be entitled to a refund of their previously paid parade entrant fee from Western Welcome Week, Inc.

INDEMNIFICATION  [WWW’s] — [Lautenbach’s “LIABILITY” section above addresses indemnification.]
Indemnify and hold harmless Western Welcome Week, Inc. from any and all liability, claims, damages, and losses arising from their organization’s participation in Western Welcome Week activities.

INCLEMENT WEATHER  [WWW’s]
Western Welcome Week, Inc. schedules specific dates for events. Events are not canceled due to inclement weather unless weather creates a safety issue. WWW reserves the right to postpone or terminate an event due to weather, and no refunds will be made.

ENTRY AND ADVERTISING RELEASE    [Lautenback’s]
In consideration of acceptance of the entry, the Entrant agrees to permit Western Welcome Week to use their names and/or photographs, films or tapes of the units for publicity, advertising and commercial promotion, before, during and after the Parade.

Entry confirmation will be via email. All registration materials and entrant identification will be issued by Western Welcome Week, Inc.

RESERVATION OF RIGHTS  [WWW’s]
Western Welcome Week, Inc. a 501(c)(3) nonprofit corporation, reserves the right to refuse participation to any group, groups, individuals, an individual, association, business, or any other entity of any nature or type that WWW feels in its sole discretion would not further the goals of the organization, would not be appropriate considering circumstances, or might reflect negatively upon WWW, or an individual or group.
