SIGNED WAIVER REQUIRED
Western Welcome Week, Inc. (WWW) requires the Parade Entry Coordinator agree to and sign the Parade Terms and Conditions on the Parade Entry Form, in addition to providing the appropriate proof of insurance. By typing their name in the “Authorized Signature” field on the Parade Entry Form, the Parade Entry Coordinator acknowledges that they have the authority to knowingly and voluntarily agree to all of the following requirements, terms, conditions, and parade guidelines for their organization:
RELEASE OF LIABILITY
In consideration of the acceptance of the right to participate in Western Welcome Week, Inc.’s Grand Parade (“Parade”), by execution of the entry form, I, my organization, and any related entrants, participants, members, or guests thereof (hereinafter collectively referred to as “Entrant”), hereby release and discharge the Western Welcome Week Inc., its officers, directors, employees, representatives and anyone else connected with the Parade from any and all known or unknown damages, injuries, losses, judgments and or claims from any cause whatsoever that may be suffered by and Entrant to his/her person or property. Further, each Entrant expressly agrees to indemnify and hold harmless Western Welcome Week, Inc., its directors, employees, representatives, and anyone else connected with the Parade, from any and all liability, including attorneys’ fees and costs, occasioned or resulting from the actions or conduct of the Entrant.
CERTIFICATE OF INSURANCE REQUIREMENTS
All parade entrants are required to provide proof of liability coverage to protect against bodily injury and property damage. Requirements vary between commercial entities (often requiring commercial auto and commercial general liability) and individual participants (who may use personal, homeowners, or auto policies), with both usually naming the Western Welcome Week, Inc., organizers as an “additional insured.” Certificates must include the address for Western Welcome Week, Inc.: 5890 S. Bemis Street., Littleton, CO 80120, and policy effective date must be within one year prior to the parade date.
INSURANCE REQUIREMENTS FOR COMMERCIAL ENTRIES
Commercial business coverage requirements:
- Commercial General Liability (CGL): Usually a minimum of $1,000,000 per occurrence / $2,000,000 aggregate.
- Commercial Auto Liability: Required if vehicles are used, with combined single limits of at least $1,000,000.
- Additional Insured Status: Western Welcome Week, Inc. requires a certificate of additional insured naming Western Welcome Week, Inc.
- Workers’ Compensation: Required for commercial entries with employees, according to statutory limits.
- Hired and Non-Owned Auto: Mandatory for businesses using rented or personal vehicles for business purposes in the parade. If business or personal insurance is insufficient, organizers may require special event insurance, which covers commercial or non-profit organizations for liability risks. Contact your insurance agent.
INSURANCE REQUIREMENTS FOR INDIVIDUAL ENTRIES
Individuals, non-profits, or small community groups coverage requirements:
- Personal Auto Liability: If a vehicle is involved, proof of personal auto insurance is required, often with minimum liability limits of $100,000–$300,000. It is recommended to ensure that participating in a parade does not void coverage.
- Homeowners Liability: Coverage for walking entries, marching groups, or participants with animals — $300,000+ limits.
- Special Event Insurance: If personal insurance is insufficient, organizers may require special event insurance, which covers commercial or non-profit organizations for liability risks. Contact your insurance agent.
INSURANCE REQUIREMENTS FOR ENTRIES WITH ANIMALS
Western Welcome Week, Inc. requires a certificate of additional insured naming Western Welcome Week, Inc. for all entries with animals that are loose in the parade, i.e. horses, goats, dogs, chickens, etc.
- No item shall not be thrown or distributed from any parade entry
Western Welcome Week’s (WWW) insurance policy STRICTLY FORBIDS all parade participants from throwing, tossing, handing out, or distributing ANY items whatsoever from their parade entry. This includes approaching parade spectators to shake hands, chat, etc. This is a non-negotiable safety requirement. Entries not adhering to this rule could be pulled from the parade, regardless of where the entry is on the parade route, or how far the parade has progressed. Entries that violate this rule will not be allowed to participate in future Western Welcome Week parades. We are expecting 20,000+ spectators and want to ensure a safe parade for everyone. - No alcohol, drugs, controlled substance, or tobacco use OR presence is allowed at any time. There shall be no consumption of alcohol or unlawful drugs, no smoking, and no vaping or use of similar devices on any vehicle or trailer. No person operating a vehicle, trailer or other motorized vehicle in the parade shall be under the influence of alcoholic beverages or unlawful drugs of any type.
- Firearms and pyrotechnics: No person shall discharge firearms, noise makers, fireworks, or similar items at any time during the parade.
- Fire code mandates that all decorative materials used on parade entries must be non-combustible or flame retardant. All motorized vehicles and towing vehicles must care a portable fire extinguisher with a minimum rating of 2A:10B:C (often marketed as an “ABC” extinguisher).
ACCEPTANCE OF ENTRY
Entry confirmation will be via email. All registration materials and entrant identification will be issued by Western Welcome Week, Inc. Acceptance of each entry is at the discretion of the WWW Parade Committee. Application must include the application fee. If paying by check the due date is 10 days after the application date mailed to Western Welcome Week, 5890 September Bemis St, Littleton, CO 80120. A confirmation letter will be emailed within 10 days of receipt of paid entries and an information letter will be sent to parade participants in early August.
ACTS OF GOD AND GOVERNMENT
Both Parade Entrants and Western Welcome Week, Inc. recognize that Acts of God (including weather and pandemics) and Acts of Third Parties (including the City of Littleton/Police and South Metro Fire Departments, State of Colorado, and U.S. Government, including but not limited to their security branches) are beyond the control these parties. To the extent that actions by third parties beyond the control these parties (including but not limited to Acts of God/weather and pandemics or Government or terrorist acts) preclude or limit the operation of the Parade, or its participants, neither party will hold the other responsible for said actions. Both parties agree to abide by the regulations and requirements of the City of Littleton and County of Arapahoe and the State of Colorado. If the Parade is canceled due to an act of God/weather and pandemics or Third Parties that are beyond the control of the parties, Parade Entrants will be not be entitled to a refund of their previously paid parade entrant fee from Western Welcome Week, Inc.
CANCELLATIONS / NO SHOWS
Cancellations must be made in writing prior to July 31 to receive a partial refund; $15 of the entry fee will be retained for administrative costs. Cancellations received July 31 or later, as well as “no-shows” will result in no refund.
ENTRY AND ADVERTISING RELEASE
In consideration of acceptance of the entry, the Entrant agrees to permit Western Welcome Week to use their names and/or photographs, films or tapes of the units for publicity, advertising and commercial promotion, before, during and after the Parade.
DISCLAIMERS
- Western Welcome Week, Inc., a nonprofit organization, reserves the right to refuse participation to any group, groups, individuals, an individual, association, business, or any other entity of any nature or type that WWW feels in its sole discretion would not further the goals of the organization, would not be appropriate considering circumstances, or might reflect negatively upon Western Welcome Week, an individual or group.
- Western Welcome Week, Inc. does not and shall not discriminate based on race, color, religion (creed), gender, gender expression, age, national origin (ancestry), disability, marital status, sexual orientation, or military status, in any of its activities or operations. These activities include, but are not limited to, hiring and firing of staff, selection of volunteers and vendors, and provision of services. We are committed to providing an inclusive and welcoming environment for all members of our staff, clients, volunteers, subcontractors, vendors, and clients.
- Western Welcome Week, Inc. is an event coordinator for the Western Welcome Week annual festival and attempts to include as much of the community as possible in the events of the festival. Western Welcome Week, Inc. is not responsible for the views, actions, content, accuracy or opinions expressed by any of the community events or participants, and should not be imputed to be those of Western Welcome Week, Inc. The various views, actions, content, accuracy, or opinions expressed at events do not necessarily represent those of Western Welcome Week, Inc., its management or employees.
PARADE ENTRY NUMBERS ARE NOT DISTRIBUTED PRIOR TO THE PARADE
Parade entry numbers are handed out on the morning of the parade during check-in — no exceptions. Please do not call the Western Welcome Week office to ask for your entry number.
PARADE STAGING AND CHECK-IN PROCESS
The parade staging takes place on S. Gallup Street between Littleton Boulevard and Caley Avenue, and is divided into five sections. The check-in station opens at 7:30am at Gallup Park, across from the Littleton Museum on Gallup Street and Library Lane — look for the pop-up canopy. Each group should designate one person to check in and receive their entry number and staging section location, then should direct the rest of their group to their assigned section location on Gallup Street.
— All entries must be in position by 9:15am.
— Entry numbers and staging locations are assigned at check-in only.
— Due to last-minute adjustments, staging assignments cannot be provided in advance.
PARADE PARTICIPANT DROP-OFF
All vehicles delivering parade participants to the parade staging area on S. Gallup Street should unload passengers on S. Datura Street, one block west of Gallup Street. Due to limited parking, it is recommend that groups park in “Parking Lot A” at Arapahoe Community College, 5900 S. Santa Fe Drive at Church Avenue (dismantling area) and carpool to the limited parking areas along Datura Street. Or, catch the Littleton Public Schools Shuttle Bus from Church Avenue and ride up to the parade staging area.
PARADE ROUTE
The parade route is about one mile long. It begins at Littleton Boulevard and Gallup Street, heads west on the north side of Littleton Boulevard, and continues through downtown Littleton on Main Street. The judging stand is at the west end of Main Street. Entries will turn south in front of the judging stand onto Rapp Street, ending at Arapahoe Community College for dismantling.
MAXIMUM PARTICIPANTS PER ENTRY
The maximum number of participants for a parade entry is 20 people, except for school marching bands.
FLOAT / ENTRY SIZE LIMITS
Entries must not exceed 20 feet in width and 12 feet in height. The height restriction ensures clearance under span-wire traffic lights along the parade route. The route narrows slightly at the left turn from Main Street onto Rapp Street where the judging stage is set — all entries must be able to navigate this turn.
PARADE FORWARD MOVEMENT
It is important that maneuvers do not slow or impede the forward movement of the parade. Parade Marshals will be present along the parade route to assist in keeping a proper pace and spacing along the route. For maximum exposure, stay about 20 feet back from the entry ahead of you. If you get closer, parade attendees may not see the front of your entry. If the gap is too big, Parade Marshals will ask you to close the gap.
WEATHER PREPAREDNESS
It could be a very warm day; bring water or other hydrating fluids, as well as sunscreen, umbrellas, and protective eye wear for everyone in your entry.
INCLEMENT WEATHER
Western Welcome Week, Inc. schedules specific dates for events. Events are not canceled due to inclement weather unless weather creates a safety issue. WWW reserves the right to postpone or terminate an event due to weather, and no refunds will be made.
MARCHING BANDS
Due to the Grand Parade’s growth in popularity, parade timing, and staging limitations, the number of marching bands that can be accommodated in the parade is limited to 12 schools. Priority will be given to bands based on prior attendance and space availability.
EQUESTRIAN STAGING
Horse trailer/vehicle parking is located at Arapahoe Community College (ACC), 5900 S. Santa Fe Drive, in “Parking Lot B” on Church Avenue between Santa Fe and Prince Street. Fresh water is available for the horses. A police escort will lead the equestrian units from ACC to the parade staging area no later than 8:30am. If you are a smaller equestrian entry, or prefer to go directly to the staging area, please go directly to the parade check-in on Gallup Street near Library Lane.
POLITICAL ENTRIES
Acceptable political entries include elected “seated” officials, local candidates, and political parties. Only one entry is allowed per political party or polical group. All political entry participants must either be riding on a float entry or in a motorized or horse-drawn vehicle — NO WALKERS, regardless of political position.
AMPLIFIED SOUND
There is a $10 fee for entries with amplified sound. Entries with amplified sound are limited and not guaranteed (this does not apply to marching bands or pipe bands). All amplified sound must be directed to the sides of the entry; no forward or rear-facing amplification. Amplified sound cannot interfere with or be a nuisance to other parade entries.
SIGNAGE AND MESSAGING STANDARDS
All banners, signs, lettering, etc., on the floats or vehicles must be in good taste and positive in nature. Banners, signs, etc. are reviewed by parade officials and are subject to removal at the discretion of the parade committee. Any question regarding the appropriateness of banners, signs and materials will be the final decision of the parade committee.
DISMANTLING ENTRIES
Entries shall be dismantled at the end of the route on Church Avenue at Arapahoe Community College, 5900 S. Santa Fe Drive. Do not unload participants or start dismantling your entry prior to arriving at Church Avenue.
